Illness Control Key Settings
Step 1: Activate the Illness control option. Select YES for Use illness control in System - Application config.

Step 2: Illness control uses the link FTE, so first, make sure you use FTE. Select YES for Use FTE in System - Application config.
Next, we need to define an absence to work with each type defined:
· self-certificate (SC);
· doctor certificate (DC);
· doctor certificate for more than 16 days (DC16).
The absences defined must be linked to a C counter.
Step 3: Define the C counters to work with the absences
To define the counters, go to Configuration - Counter Definition - C Counters. Define the counters to be used with the absences.

Step 4: Define the absences to work with illness control
Go to Configuration - Absences and click . Next, define as follows:

Write a name and a code easy to be identified.

Leave the Holiday field at (none). Do not link the absence to a holiday counter!

Check Add to regular for the absences defined SC (Self Certificate) and DC (Doctor Certificate) and leave it unchecked for DC16 (Doctor Certificate >16).

Add a C counter on the first position. Press F2 on your keypad and select the appropriate counter, or just write the counter code.

Please note that counters and absences without a payroll code will not be seen in reports!

Do NOT change the definition!
If you define the counter after the use of the absence, go to Employees (or Team Manager) and make a recalculation for the entire period the absence was used.

Doctor certificate >16 does not contain Add to regular.

You won’t be able to link absences already used! Define new absences you will use only for this purpose.

Step 5: Link the absences to illness definitions. Go to System - Illness control and link the absences defined.

Step 6: Define the illness rules to be used in Employees.
Go to Configuration - Employees - New/Edit - Tab System and set the rules for FTE. For more details, see Set FTE.

Next define the illness rules and the starting period.

The Start calculation date, and Illness rule date should be the same. If the employee was hired or the system was installed after the illness year started for the company, his previous illness situation until the Start Calculation Date can be defined in Astrow. All past calculations will be adjusted to the date defined for the whole company. Click the button against the illness rules. The options in the new window are:

Start illness rule: the date the illness year should start (usually at the company level); if this is defined, the illness year will adjust all past and future calculations of the employee to this date.

Last illness date: the last illness absence date within a year.

Incidents (for basic): the number of incidents for basic illness rules occurred between the Start illness rule date defined here and Illness rule date defined at the beginning of the contract; this should be set (only for Basic) if the employee is defined in the system after the illness rule starts at the company level.

Days for illness (basic + EIA): the number of illness days occurred between the Start illness rule date defined here and Illness rule date defined at the beginning of the contract; this should be set if the employee is defined in the system after the illness rule starts at the company level.

Click Ok and close. Save all changes.

Please check the day program of the employee. Illness rules do not apply to day programs from 90A to 99O!

The rules can be changed during a year.
|
Do NOT change the rules in the interval you have an illness absence defined! The illness rules can be changed only in a working interval. This will also affect your reporting; you need to generate two different reports for the periods those rules apply.

Step 7: Define the gender in employees definition. Gender must be defined for Illness by gender report.
Go to Configuration - Employees - Edit employee - Tab Personal Info and select the Gender.
